Trimble Announces Tracso Logistics LLC as 2024 Trimble Ovation Award Winner for Automation

Based in Mexico and operating an all-purpose fleet of more than 250 vehicles, including dry vans, flatbeds and hazmat, Tracso recently faced a new challenge in the way of increased compliance regulation. But by combining Trimble TMW.Suite TMS with their new Microsoft Azure-based compliance application, Tracso was able to transform their operations for the better.
The Challenge
Regulatory compliance is key to all commercial transportation. Mexico’s markets have been shifting recently and the government has imposed increasingly strict regulations on shipments across the last several years. Now, carriers must provide much more information to the government about each shipment they handle, including more detailed invoices, manifests and bills of lading.
As a result, carriers were required to upgrade their freight-tracking capabilities to keep up. This created an immediate and significant challenge for all Mexican trucking companies. Adapting to this sudden demand for precise and extensive documentation put immense pressure on the team at Tracso, demanding that they quickly overhaul their processes to meet the requirements while minimizing disruptions to their operations.
To keep their processes streamlined, Tracso wanted to automate the receipt of all manifest information from their customers through a web application, share the information internally and submit the required manifest and invoice automatically to the Mexican government.
“We had several business goals for the project. One was to meet our customers’ needs. We also had to comply with the governmental regulations, and we had to keep our productivity high,” said Swan Webb, Director of IT for Tracso.
To accomplish these goals, Tracso turned to TMW.Suite TMS. While Tracso had been a Trimble customer since 2012, it wasn’t until these new regulations began to alter their workflow that they decided to work more closely with the Trimble team.
With the help of Trimble’s integrated cloud services and transportation management solutions, Tracsco was able to create a workflow that connected TMW.Suite TMS to their Azure-based compliance application, so they could automate the collection of information from customers, share the information internally, and then submit the necessary information and documents to the Mexican government.
“TMW is at the heart of our entire compliance enterprise,” said Jorge Gonzalez, Lead Developer for Tracso. “We collect manifest information directly into TMW and Azure, process and share that information using File Maintenance and Dispatch, and retrieve invoice and manifest information from TMW to transmit to the Mexican government.”
The Results
With this system, Tracso Logistics decreased transaction processing time from over one hour to less than one minute. They achieved roughly a 98.33% reduction in processing time, or 60 times faster than before! They’re proud to have achieved nearly 100% compliance with Mexican government requirements, meaning they incur no fines for non-compliance. They’ve also been able to eliminate all manual work required by the new regulations.
“We operate in a regulatory environment that is very different from our trucking friends north of the border,” added Webb. “We were able to quickly and effectively respond to a difficult compliance challenge using TMW, Azure and our new compliance web applications. This has resulted in better service to our customers, a better working environment for our drivers and being better members of our industry and the communities we serve.”
